Usage Monitoring Overview

Overview

Usage Monitoring enables you to:

  • Track the currency amounts of your customers’ unbilled usage balances.
  • Send your customers email messages when their unbilled usage balances reach, go above, or go below thresholds that you specified.
  • Send your customers email messages when their unbilled usage balances reach, go above, or go below their unapplied service credit balances.
  • Receive event notifications when your customers’ unbilled usage balances reach, go above, or go below thresholds that you specified.
  • Receive event notifications when your customers’ unbilled usage balances reach, go above, or go below their unapplied service credit balances.

Aria sends the email messages and event notifications about unapplied service credit balances when your customers’ billing-period-to-date unbilled usage balance goes above or below their unapplied service credit balance. Aria will not send the email messages and event notifications about unapplied service credit balances when your customers’ month-to-date unbilled usage balance goes above or below their unapplied service credit balance.

You can set up different combinations of email messages and event notifications for various customers based on your business needs. Aria tracks unbilled usage balances based on the total combined charges for all usage-based services to which a customer is subscribed. Aria will not track separate balances for each usage-based service.

If you want to subscribe to the events related to your specified Unbilled Usage Threshold Adjustment Percentage, you will need to use version 3.1 of the usage monitoring event group. Please Contact Aria Customer Support to get access to this version and the applicable XSD and DTD files.

Prerequisites

To use the usage monitoring feature, you must do the following:

  1. Have currency amounts assigned to your usage records by doing either of the following:
  • Upload usage records into Aria with currency amounts assigned to them.
  • Have Aria assign currency amounts to your usage records when they are uploaded into the system by enabling this system setting in Aria: Automatically Rate Un-rated Usage Records at Load Time (Configuration > Billing > Invoice Settings).
  1. Enable the Manage Unbilled Usage Balances system setting in Aria (in Configuration > Billing > Invoice Settings).
  2. If you want to receive event notifications when your customers’ unbilled usage balances reach, go above, or go below a percentage of thresholds that you specified, then configure this system setting: Unbilled Usage Threshold Adjustment Percentage (in Configuration > Billing > Invoice Settings).

    Note: If you do not specify a percentage as described above then, by default, event notifications will be triggered when your customers unbilled usage balances have reached, gone above, or gone below 100% of your specified thresholds.

  1. Enable the Rated/Unbilled Usage Aria module so that you can view unbilled usage balances and unapplied service credit balances and manage unbilled usage balance thresholds in Aria (in Configuration > Security > Account Access > Usage History).

    If the Manage Unbilled Usage Balances system setting is set to True and your usage records in Aria have currency amounts assigned to them, then Aria will maintain two separate balances for each account:
  • MTD: This is the currency amount of an account’s month-to-date unbilled usage balance, which is automatically reset to zero on the account's billing day each month.
  • PTD: This is the currency amount of an account’s billing-period-to-date unbilled usage balance, which is automatically reset to zero each time the Aria invoicing batch process invoices the account.
