Working with Child Aria Accounts

Overview

Aria Billing Studio provides users access to "Child" account detail in support of Aria Billing Cloud's multi-tier Parent-Child account hierarchy relationships. Users can also update a Child account's payment responsibility.

  1. From an Account's Details screen, click on the Child Aria Accounts menu tab.

Note: A numeric value in parenthesis next to the Child Aria Accounts menu tab indicates that a Parent-Child(s) account relationship presently exists.

The Child Aria Accounts screen displays as shown above.

  1. Click on the New button to create a new Aria Billing Account. The Create New Aria Billing Account screen is opened to input and save new Aria Billing Account information. The new Aria Billing Account will be created as a child account associated to the selected Parent account.

Note: This new child account must first have been created as a ServiceNow account and associated to an existing Aria account prior to performing this operation. See Create an Aria Billing Account in Aria Billing Studio for ServiceNow.

  1.  Click on the desired Aria Billing "Child' Account number.

The selected Aria "Child" Account's Main screen is displayed as show above.

The Child Account's Subscriptions screen is opened by default.

a. Command options in the upper right portion of this screen enable users to Open the Account in Aria, Change the Account's Status, and Update Payment Responsibility

Note: Only "Child" Accounts have the Update Payment Responsibility command option.

b. Menu options (Subscriptions, Payment Methods, Child Aria Accounts, etc.) provide information and function the same for all accounts. See Working with an Account's Master and Supplemental Plan Subscriptions, or Working with an Account's Payment Methods, for detailed information and steps. 

  1. Click on the Update Payment Responsibility button.

The "Child" account's Update Payment Responsibility screen displays as shown above.

The screen's Manage Payment Responsibility section provides the following table column information:

a. Master Plan (Master Plans subscribed to by the Child account)
b. Billing Responsibility (field options include Standard Self Pay, Parent Pay, or Parent Usage & Pay)
c. Payment Source (Parent account's Master Plan and Billing Group ID that is currently assigned payment responsibility for the Child account's Master Plan subscription, if the Child's Master Plan subscription's Billing Responsibility is Parent Pay)
d. Self-Pay Billing Group (Child account's Billing Group ID, if the Billing Responsibility for a Child account's Master Plan subscription(s) is currently Standard Self Pay) 

  1. Double-click on the account's Master Plan's Billing Responsibility field, and select the desired billing responsibility. 
  2. Double-click on the account's Master Plan's Payment Source field, and select the desired Parent account's Master Plan / Billing Group ID that will have payment responsibility, if billing responsibility is to the Parent account.
  3. Double-click on the account's Master Plan's Self-Pay Billing Group field, and select the desired Billing Group number, if the account's billing responsibility is Standard Self-Pay. 
  4. Click on the Submit button.

A dialogue screen displays indicating your request has been submitted to Aria.

Note: An error message will display if the request submitted was unsuccessful.

  1. Click on the View Details button.
